Value lists in Queue qualifying rules

Modified on Tue, 23 Apr 2024 at 09:44 AM

This document explains how to utilize value lists in queue qualifying rules, enabling you to route leads and meetings based on predefined criteria.

What are Value Lists?

Value lists are collections of predefined values accessible from queue qualifying rules. You can create lists containing numbers, text, or even combinations of both. This eliminates the need to manually type individual values each time, simplifying rule building and improving consistency. By effectively utilizing value lists in queue qualifying rules, you can achieve efficient and accurate lead and meeting routing, ultimately leading to improved sales and marketing outcomes.

Benefits of Using Value Lists:

  • Increased Efficiency: Save time and effort by managing common values in a single list instead of repeatedly entering them in rules.
  • Enhanced Accuracy: Reduce errors by eliminating the need for manual entry and typos.
  • Improved Flexibility: Easily update values in one central location, automatically reflecting changes across all associated rules.
  • Scalability: Accommodate complex routing scenarios with numerous values through efficient list management.

How to create and use value list in Queue rules

This section guides you through creating and using value lists within your queue qualifying rules:

1. Accessing the Value List Feature

  • When building a queue rule, locate the property you want to qualify based on values in a list.
  • Click on the "is in list" or "is NOT in list" condition associated with that property. This will trigger the option to edit or create a value list.

2. Creating a New Value List

  • Look for the green highlighted text "Edit/Create value list" within the condition box. Click on it.
  • A pop-up window will appear. Choose "Create new value list" from the options.

  • Enter a descriptive name for your value list and click the "Create" button.

3. Uploading Values

  • Click the "Download" button to download a pre-formatted Excel file.
  • Open the downloaded file and enter your desired values in the first column (without any header).
  • You can include numbers, text, or even combinations of both. Ensure accuracy and avoid typos in your entries.
  • Once complete, click the "Upload" button to import the values from your modified Excel file.
  • Finally, click "Update" to save the value list within your system.

4. Using the Value List in Your Rule

  • Once uploaded, your list will be displayed within the rule interface.
  • Select the specific value list you want to use for the chosen property.
  • The "is in list" condition checks if the property value matches any entry in your chosen list.
  • Conversely, the "is NOT in list" condition checks if the property value is not present within the selected list.

5. Modifying/updating Your Value Lists

  • You can access and modify your existing value lists.
  • Click on the list name from the rule interface to view or edit its contents.
  • Download, modify, and re-upload the Excel file to update the values within the list.
  • Remember to save changes after any modifications.

Use Case: Routing Meetings Based on Zipcodes

Scenario: You have various sales teams responsible for specific geographical regions. You want to automatically route incoming meeting requests to the appropriate team based on the customer's zip code.

Solution:

  • Create separate value lists for each sales team, each containing the zip codes they cover.
  • For each queue representing a sales team, set up a qualifying rule that checks if the incoming meeting request's zip code is present in their corresponding value list.
  • Based on the rule evaluation, meetings matching specific zip codes will be automatically routed to the appropriate sales team's queue.
  • Meetings with zip codes not found in any value list will follow your designated default routing behavior.

Best Practices

  • Name your value lists clearly and descriptively for easy identification.
  • Maintain and update value lists regularly to ensure accuracy and relevance.
  • Document your use of value lists for training and reference purposes.
  • Explore the specific functionalities and limitations of your queue management system regarding value lists.
