What is an Availability Profile? How can I restrict my availability to others using this?

The Availability Profile allows you to restrict your available hours for an event type. Leadmonk only offers available time slots within this availability window and it syncs with your calendar so it always knows your availability.


Create a new availability profile from your Availability page whenever you need to apply a different set of available hours to one or more of your event types.

You can restrict your availability by using availability profile or custom availability within the Meeting type as shown below:




Creating a New Availability Profile

To create a new availability profile, follow these steps:

  • Go to your "Scheduler => Availability" page.
  • Click on the "+ New Profile" button.
  • Give your availability profile a name.
  • Choose the days of the week and the times of day when you are available.
  • Save your changes.


By default, the time zone is always set to your network's local time zone. However, you can change it to a different time zone if required. 



Available times weekly

  • In this section, specify your available hours to take appointments from your invitees.
  • Select the checkbox (highlighted in green color box) next to the days you're available. De-select the days you're unavailable. 
  • In the boxes, select the start and end times you’re available each day. 
  • To add multiple intervals (time frames), select the + (highlighted in purple color box) and enter the times you’re available. 
  • Multiple intervals are useful to ensure that you won't be booked during lunch time, or taking a break during the day. (e.g. Create an interval from 9:00AM -12:00PM and then create a second interval from 1:00PM-5:00PM to accommodate for a lunch break).
  • To delete an interval select the trashcan icon (highlighted in orange color box).
  • Quickly copy your availability hours for a single weekday to all the other weekdays by simply clicking the 'Copy to all rows' icon highlighted in a red color circle.

   

  

  • In the "Specific Date availability" section, you can specify your working hours which is different from your usual hours (i.e. different from working hours defined in the "Available times weekly" section.
  • In the "Unavailable days" section, you can define the dates you are not available to take appointments due to public holidays or vacation etc.

  


Generally, you don’t want to expose all your availability slots for all types of meetings (interview, meeting with customers, meeting with investors, meeting with vendors, etc.). You can publish different availability slots for different meeting purposes with the help of availability profiles. You can create different availability profiles for different meeting requirements as shown below.


Applying an Availability Profile to an Event Type

Once you have created an availability profile, you can apply it to one or more of your event types. 

To do this, follow these steps:

  • Go to your "Scheduler=>Meeting types" page.
  • Select the meeting type you want to apply the availability profile to.
  • In the "Availability preferences" section, select the availability profile you want to use.
  • Save your changes.
  • Your meeting type will now only offer available time slots within the availability window set by the availability profile you applied.



Editing an Availability Profile

To edit an availability profile, follow these steps:

  • Go to your "Scheduler => Availability" page.
  • Choose the availability profile you want to edit.
  • Make any changes to the days and times of availability.
  • Save your changes.

The changes you make to the availability profile will automatically sync with your calendar, ensuring that Leadmonk always knows your availability.
